SUMMARY

To assist Project Manager, Site Managers, Site employees and Corporate office staff in the administration of all project and site related matters which may include but not be limited to: Documentation preparation and creation, Time & Attendance Management, Travel & Lodging, Report Preparation/Issuance, Daily Site Specific Project and Client Reporting, Record and document Retention, and assisting in the Mobilization and onboarding of site personnel.

Details:

  • Location – Capital Power – Genesee Generating Station, Warburg, AB
  • Rotation currently is 10 days on site, 4 days off (10/4), potential to change
  • Hours of work: 10 hours daily (7:30-5:30)
  • Contract based position to commence August 2022 to January 2023 with potential for extension
  • There is an opportunity for longer duration and/or re-assignment to other IPS roles based on performance

Qualifications:

  • Intermediate to advanced experience in an administrative position
  • Experience arranging commercial or charter travel, transportation logistics and lodging for 20 + employees
  • Intermediate to advanced experience in Microsoft Office suite including Microsoft projects
  • Previous Site Administrative experience will be considered an asset
  • Previous Suncor Site experience will be considered an asset

Duties:

  • Ensure that the Project Manager, Site Supervisors and site employees have all necessary documentation during the course of the project
  • Attend meetings, record minutes and distribute as requested
  • Format and compile reports in conjunction with the Project Manager, Project Coordinator and Site Supervisor(s)
  • Provide support to the project coordinator and various departments in ensuring proper retention, distribution, sharing and filing of Documents/drawings initiated on site.
  • Assist in data entry for QA/QC, HSE, Engineering, Corporate and Management groups
  • Assist with the onboarding of new project personnel
  • Assist with any HSE/Quality/Project initiatives undertaken during the course of the project
  • Assist with invoice reconciliation
  • Assist with monitoring and tracking equipment rentals
  • Support the Project Manager, management team and site team to ensure that all necessary client and company policies and procedures are implemented and followed.
  • Other duties as required.

Employment Pre-requisites and Requirements:

  • D&A Testing and compliance is a mandatory requirement of this position
  • OSSA BSO or CSO, CSTS 09
  • Valid Class 5 Drivers license
